Checking Trip Eligibility and Reviewing Trip Schedules for Run Suggestions

When generating Orion run suggestions, some trips may not fit into a route because their pickup or drop-off time windows are too restrictive, or no vehicle is available to service the trip.

Use Check Eligibility First to identify trips that need attention, then Review Trip Schedule to adjust their time windows and give Orion more flexibility.

Check Trip Eligibility

Where to find it: Runs > Run Suggestions (Beta)

  1. Open Run Suggestions.
  2. Select Check Eligibility First.
  3. Keep the tab open while the check runs. This may take up to a minute.

 

The results will show:

Result

Meaning

Eligible Trips

Trips that can be included in run suggestions.

Needs Review

Trips with scheduling conflicts that may qualify after adjustments.

Excluded

Trips that cannot be included because of missing or incompatible data.

Only Needs Review trips are listed individually. Select Review Trip Schedule to make adjustments.

Note: Changing a trip’s schedule does not automatically re-run the eligibility check or generate runs. Select Check Eligibility or Generate Suggestions after making changes.

Review a Trip’s Schedule

You can select Review Trip Schedule from:

  • Trips that are Unassigned, Waiting, Assigned, or Routed.
  • A trip listed under Needs Review after an eligibility check.

The modal shows the trip’s pickup and drop-off addresses, durations, current settings, and time windows.

 

 

Adjust the Time Window

For pickup and drop-off, you can adjust the:

  • Earliest — How early Orion can schedule the trip.
  • Requested / Estimated — The trip’s anchor time.
  • Latest — How late Orion can schedule the trip.

You can enter a number of minutes or select a preset from 5–60 minutes.

Each Earliest and Latest edge can be set to:

  • Strict — Orion must respect the boundary.
  • Flexible — Orion can adjust the time when building a route.

At least one edge must remain Strict for each trip.

Allow Flexible Scheduling

When available, Allow Flexible Scheduling lets Orion automatically select the best pickup or drop-off time.

You can enable this for pickup OR drop-off, but not both. When enabled, the Earliest and Latest values change to Auto.

Save Your Changes

Select Save after making a valid change. The trip list will refresh automatically, and trips updated from an eligibility check will be re-evaluated.

Select Cancel or X to close without saving.

Keep in mind

Adjusting a time window does not guarantee that a trip will be included in a run. Orion still considers other requirements, such as seating, fleet availability, and service area.

FAQs

Why can’t I make every edge Flexible?
At least one edge must remain Strict so Orion has a fixed scheduling point.

Why can’t I enable Flexible Scheduling for both pickup and drop-off?
One side must retain a defined time window for Orion to plan around.

Can I review Eligible or Excluded trips?
No. Only Needs Review trips are listed for follow-up. Excluded trips require something other than a time-window adjustment to become eligible.

Known limitation: In rare cases, both Flexible Scheduling options may be disabled when a trip does not have a requested drop-off time. Contact Support if you need help with one of these trips.
